OP2026 Poster Presentations Clinical Audits and Service Improvements (40 abstracts)

Background: Our FLS commenced in September 2024. We needed to ensure we had a robust system to track our workload across all our Practitioners based in all four of the acute sites. As our work is exclusively virtual, we required an approach to allow us to provide high quality, timely and seamless care for patients, coordinating workloads across our whole team.
Method: Our aim was to create a dashboard within SharePoint, encompassing the functions that the team require to deliver safe standards of care across the whole Health Board. Our objective was to utilise applications already available to us to minimise costs. We utilised systems such as Microsoft Lists, Microsoft Teams and skills from our internal software developers.
Results: We collaborated with our digital and software leads to produce the programme required. Named Paddington, the system highlights upcoming activity allowing the clinical teams to structure workload accordingly, for example by organising blood tests or appointments. This approach also allows these tasks to simply be distributed to the appropriate local clinical team on one of our four sites allowing us to work as an integrated team across our large rural area.
The system also includes:
1. Electronic referrals. 2. Digital assessment proformas which feed into Power BI to allow us to track metrics of our service. 3. Holds key documents which allows transition into PDF. 4. Hosts useful tools such as Promptly, FRAX, dietary calcium calculators and more.
Conclusion: Prior to the introduction of Paddington, the approach we took to our workload was based more closely to the location of each Practitioner. As a result of the variation in population and areas that each Practitioner covered there was a significant variation in workload for different members of the team. Since introducing Paddington and hence integrating a more collaborative approach, this has evened out workload dramatically across the team. This reduction in variation of workload has been an improvement in staff wellbeing through a more manageable and fair working pattern. We also found it easy to monitor our service development using this live data and integrate outcomes into service improvement projects.
